Rental Terms
All car rentals with Car Hire are governed by a comprehensive Rental Agreement provided at the time of booking confirmation or vehicle pickup. This document outlines specific terms, conditions, insurance information, fees, and your obligations related to the rental. In case of any discrepancies between these Terms and the Rental Agreement, the latter will take precedence.
Eligibility Criteria
Vehicle Rental Requirements
- To rent a vehicle through Car Hire, drivers must be at least 21 years old; additional age restrictions may apply based on vehicle type, with extra fees for those under 25. A valid driving licence, suitable for the vehicle category, is required, along with identification and proof of residence. Payment details and a security deposit must also be provided. Please check the Rental Agreement for any specific conditions that may apply.
Booking and Payments
- Bookings can be made conveniently via our website, over the phone, or at our Dartford office. To confirm your reservation, a booking deposit may be required. Full payment, alongside a security deposit, is generally expected upon vehicle collection. All prices are listed in British Pounds (£) and include VAT, where applicable. We accept major credit and debit cards, all processed securely through trusted payment providers.
4. Vehicle Pickup and Drop-off
- Upon collecting the vehicle, a thorough inspection is required to identify any pre-existing damage, which should be reported immediately. A vehicle condition report will be completed and signed to document the state of the vehicle. It is expected that the vehicle be returned in the same condition as it was collected, accounting for normal wear and tear. Any new damages will be evaluated and charges will apply as necessary. The fuel level must match that at the time of collection; refueling fees will be incurred for vehicles returned with lower fuel levels. Late returns may result in additional fees, so please inform us as soon as possible if a delay is anticipated. You will be responsible for any parking fines, traffic violations, or other charges incurred during the rental period, along with an administration fee.
5. Insurance and Responsibility
- All rentals come with basic third-party insurance included. You can find detailed coverage information and excess amounts in your Rental Agreement. Additional insurance options may be available, which can help minimize your financial exposure. Please review these options thoroughly. You are liable for any damage or loss up to the excess amount specified unless you opt for extra insurance. Any damage resulting from negligence or misuse remains your responsibility, irrespective of insurance coverage.
Cancellation and Modifications
Cancellation and amendment policies depend on the type of booking and the notice period provided. For detailed information, please consult your booking confirmation or Rental Agreement. Be aware that late cancellations or no-shows may incur charges, impacting your overall rental experience.
Prohibited Activities
Prohibited Vehicle Uses
- The vehicle must not be used for any illegal activities, including racing, rallying, or off-road driving. Transporting hazardous materials is strictly prohibited. The vehicle cannot be sub-let or operated by unauthorized drivers. Driving under the influence of alcohol or drugs is forbidden, as are activities for which the vehicle was not intended. Please adhere to passenger and weight limits, and remain within the designated geographical boundaries.
Breach of these terms may lead to rental cancellation and extra fees.
8. Liability Limits
To the fullest extent allowed by English and Welsh law, Car Hire Reading is not responsible for any indirect, incidental, special, or consequential damages, including loss of profits, data, or business, resulting from your use of our services. Our liability for any claims is limited to the total amount paid for your rental in the previous 12 months. This limitation does not apply to liability for death or personal injury due to negligence or fraud.
9. Legal Framework
These Terms are governed by the laws of England and Wales. Any disputes will fall under the jurisdiction of the relevant English and Welsh courts.
10. Amendments to Terms
We reserve the right to update these Terms at any time. Changes take effect immediately once published on our website. Continued use of our services indicates your acceptance of the revised Terms.
